Terms & Conditions

Effective Date: August 28, 2026 Last Updated: August 30, 2026

Welcome to timetable.lk. These Terms and Conditions ("Terms") govern your access to and use of the website, web application, software, and services provided via timetable.lk (collectively, the "Service").

The Service is owned and operated by Thilanka Weerasekara as an individual sole proprietor ("Operator", "we", "us", or "our"), registered address 390/2, Pannipitiya road, Kalalgoda, contact phone +94 717 576 576, email timetable.lk@gmail.com. By registering for an account, accessing, or using timetable.lk, you ("User", "you", or "your", referring to an individual or the school/institution you represent) agree to be legally bound by these Terms. If you do not agree, do not use the Service.

1. Description of Service and Plan Tiers

timetable.lk is a Software-as-a-Service (SaaS) platform designed to assist educational institutions in generating, managing, and distributing school timetables. The Service operates on multiple tiers:

  • Free Plan: Core features with scale limits (up to 50 teachers/classes).
  • Premium Plan: Higher scale, automation, and advanced exports.
  • Enterprise Plan: Multi-school district management, Single Sign-On (SSO), API access, and custom scripting.

2. Eligibility

You must be at least 18 years old, or the age of legal majority in your jurisdiction, and have the legal authority to bind yourself or the school/institution you represent to these Terms. The Service is intended for institutional/business use by schools and educational administrators, not for individual consumers.

3. Account Registration and Verification

  • Registration: You must create an account using a valid email address or third-party authentication. You warrant that all information provided is accurate and current.
  • Government School Verification: The Free Plan offers enhanced features (e.g., shareable links, per-teacher PDFs) exclusively to verified government schools. Verification is determined via institutional email suffixes or self-declaration forms subject to manual review. Misrepresenting your institution as a government school is a material breach of these Terms and will result in immediate account suspension or termination.
  • Account Responsibility: You are solely responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account.

4. Subscriptions, Fees, and Payments

  • Pricing: Premium and Enterprise subscription fees are specified on our pricing page and are subject to change. Enterprise pricing includes a base fee plus a per-school annual fee (minimum 5 schools).
  • Payment Processing: All payments are securely processed through our authorized third-party payment gateway, or via manual invoice for Enterprise clients. We do not store your credit/debit card details.
  • Billing Cycle: Subscriptions are billed annually in advance.

5. User Content, Exports, & API Responsibilities

  • Ownership of Content: You retain all rights to the data you upload (teacher names, subjects, class lists). You represent and warrant that you have obtained all necessary permissions before uploading this data.
  • Automated Timetable Generation: Timetables are generated by an automated constraint-solving algorithm as a planning aid. The Operator does not warrant that any generated or manually-edited timetable is error-free, complete, conflict-free, or fit for a particular purpose. You are solely responsible for reviewing every generated timetable before relying on it, and the Operator is not liable for scheduling conflicts, missed classes, teacher/room clashes, or any operational disruption arising from reliance on the Service's output.
  • Data Exports (iCal/Excel): Premium and Enterprise users can export timetable data. Once data is exported from our servers, you are solely responsible for its security, distribution, and compliance with data protection laws.
  • API & SSO (Enterprise): Enterprise users utilizing custom APIs, Management Information System (MIS) integrations, or Keycloak SSO are solely responsible for the security of their API keys, network configurations, and the data transmitted between timetable.lk and their internal systems.
  • Multi-School Management: Enterprise users granting role-based access across multiple campuses or districts are responsible for the actions of all sub-admins and personnel operating under their overarching account.

6. Prohibited Data

The Service is designed to hold institutional/staff data only — teacher names, subjects, classes, rooms, and related scheduling information. You must not upload, enter, or otherwise submit personal data belonging to students or any other minors. Doing so is a breach of these Terms and is undertaken entirely at your own risk; the Operator accepts no responsibility for any consequence of prohibited data being submitted to the Service.

7. Third-Party Services

The Service relies on third-party providers for authentication (including Google sign-in via Keycloak), payment processing (PayHere), and email delivery. These providers operate under their own terms and privacy policies. The Operator is not liable for outages, security incidents, data handling practices, or policy changes of any third-party provider, except to the extent required by applicable law.

8. Intellectual Property

All software, underlying code, architecture, algorithms, UI/UX designs, trademarks, and branding associated with timetable.lk are the sole intellectual property of the Operator. You may not reverse engineer, decompile, copy, or redistribute any part of the Service.

9. Force Majeure

The Operator shall not be liable for any failure or delay in performance of the Service resulting from events beyond its reasonable control, including but not limited to outages or failures of third-party hosting, payment, authentication, or internet infrastructure providers, natural disasters, civil unrest, or governmental action.

10. Suspension & Termination

The Operator may suspend or terminate your account, without refund of prepaid fees, for breach of these Terms, including (without limitation) misrepresentation of government school status, non-payment, or submission of prohibited data under Section 6. You may terminate your own account at any time; see the Refund & Cancellation Policy below for the effect of cancellation on paid subscriptions.

11. Indemnification

You agree to indemnify and hold harmless the Operator from any claims, damages, liabilities, and expenses (including reasonable legal fees) arising from your data, your use or misuse of the Service, or your breach of these Terms.

12. Limitation of Liability (CRITICAL)

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW:

  • "AS-IS" PROVISION: THE SERVICE IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS.
  • SLA EXCEPTION: UNLESS EXPLICITLY OUTLINED IN A SEPARATE ENTERPRISE SERVICE LEVEL AGREEMENT (SLA) CONTRACT SIGNED BY BOTH PARTIES, WE DO NOT GUARANTEE THAT THE SERVICE WILL BE ERROR-FREE, UNINTERRUPTED, OR SECURE.
  • EXCLUSIONS: IN NO EVENT SHALL THE OPERATOR BE LIABLE FOR ANY INDIRECT, PUNITIVE, INCIDENTAL, SPECIAL, OR CONSEQUENTIAL DAMAGES, INCLUDING LOSS OF DATA OR SCHOOL DISRUPTIONS.
  • AGGREGATE LIABILITY CAP: THE TOTAL CUMULATIVE LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICE IS STRICTLY LIMITED TO THE GREATER OF: THE ACTUAL AMOUNT PAID BY YOU TO TIMETABLE.LK IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR LKR 10,000.
  • STATUTORY CARVE-OUT: NOTHING IN THESE TERMS EXCLUDES OR LIMITS LIABILITY THAT CANNOT LAWFULLY BE EXCLUDED OR LIMITED UNDER THE UNFAIR CONTRACT TERMS ACT NO. 26 OF 1997 OR OTHER APPLICABLE LAW OF SRI LANKA, INCLUDING LIABILITY FOR DEATH OR PERSONAL INJURY CAUSED BY NEGLIGENCE.

13. General Provisions

  • Modification of Terms: The Operator may amend these Terms at any time by posting a revised version with an updated "Last Updated" date. Continued use of the Service after such changes constitutes acceptance.
  • Severability: If any provision of these Terms is found unenforceable, the remaining provisions remain in full force and effect.
  • Entire Agreement: These Terms (together with the Privacy Policy and, where applicable, any signed Enterprise SLA) constitute the entire agreement between you and the Operator regarding the Service.
  • Assignment: The Operator may assign or transfer these Terms and its rights/obligations hereunder, including in connection with a business restructuring or transfer.
  • No Waiver: Failure to enforce any provision of these Terms does not constitute a waiver of that or any other provision.

14. Governing Law & Dispute Resolution

These Terms shall be governed by the laws of the Democratic Socialist Republic of Sri Lanka. Legal proceedings shall be instituted exclusively in the competent courts of Colombo, Sri Lanka.

Refund & Cancellation Policy

Effective Date: August 28, 2026 Last Updated: August 30, 2026

1. Free Tier Evaluation

timetable.lk provides a comprehensive Free Plan. We strongly encourage schools to test the solver engine and ensure the platform meets their constraints before upgrading.

2. Strict No-Refund Policy

Because a functional Free Plan is available for evaluation, ALL PAYMENTS FOR PREMIUM AND ENTERPRISE ANNUAL OR MONTHLY SUBSCRIPTIONS ARE STRICTLY FINAL AND NON-REFUNDABLE.

  • No full or partial refunds will be issued for unused portions of the subscription.
  • No refunds will be provided for changes in school administration, failure to utilize the platform, or external MIS integration issues not directly caused by timetable.lk's core API.

3. Digital Service — No Cooling-Off Period

The Service is a non-tangible digital subscription, not a physical good. Because a fully functional Free Plan is always available for evaluation before any payment is made, no statutory cooling-off period or return window applies beyond what is expressly stated in this Policy.

4. Account Cancellations & Downgrades

You may cancel your paid subscription at any time. Premium/Enterprise features will remain active until the end of the current paid billing cycle.

Data Implications of Downgrading: Upon downgrading to the Free Plan, access to Premium/Enterprise features (unlimited history, API access, multi-school management, continuity assignments) will be immediately revoked. Data exceeding Free Plan limits (e.g., more than 50 teachers) will be locked or permanently truncated. You are responsible for exporting necessary data via Excel/iCal prior to cancellation.

5. Payment Disputes & Chargebacks

If you have a billing concern, please contact timetable.lk@gmail.com before initiating a chargeback or dispute with your bank or payment provider. The Operator reserves the right to suspend an account pending resolution of a disputed payment, and to recover fees or costs directly attributable to a fraudulent or bad-faith chargeback.

6. Failed & Duplicate Payments

A payment attempt that fails or appears as a temporary authorization hold, but does not complete, is not a chargeable transaction and requires no refund action — such holds are released automatically by your bank or card issuer. Genuine duplicate charges for the same subscription period remain covered by the Billing Errors provision below.

7. Billing Errors

Refunds are only considered for duplicate charges due to technical glitches or verified billing errors originating from our systems. You must notify timetable.lk@gmail.com within seven (7) calendar days of the transaction. Approved refunds are credited via the original payment method.
